Moving to Dubai: what things should be transported and what things should be bought on the spot

What to transport to Dubai: comparison of costs, conditions for importing used items, carrier estimates, insurance and acceptance.

The cost of transportation in itself does not answer the question of whether it is profitable to transport household items to Dubai. First you need to understand where the family will live, when they will be able to receive the cargo, and what items will really be useful. A sofa that fit perfectly in your previous apartment may not fit into the elevator of your new home. A paid container does not solve this problem: storage, re-delivery or sale of furniture after the move will add to the costs.

It is better to make decisions based on items, and not on the principle of “take everything” or “buy everything again.” A good plan has three separate lists: what you need immediately after arrival, the cargo for your chosen accommodation, and the things that remain. This allows you to compare real offers from carriers and not pay for volume that the family is not yet ready to use.

Start with your future home

Check the contract and inventory of the apartment: what beds, wardrobes, household appliances and kitchen utensils have already been provided. The words furnished and unfurnished are not enough in an ad. We need a list of items with condition and photographs. Otherwise, purchases that are not needed will appear in the estimate, or expenses for things that are not actually in the apartment will disappear.

For large furniture, take measurements of rooms, doors and the route from unloading to the apartment. Check the building rules: is a freight elevator allowed, is an appointment required for delivery, are there any time limits for work. The response of the management company is more important than the assumption of the carrier, who has not yet seen the house. If the home is temporary, large cargo may create a storage obligation before there is a chance to unpack it.

For electrical appliances, please check the power labeling, compatibility and terms of service in the UAE separately. The ability to connect a device via an adapter does not mean that the manufacturer supports its local version under warranty. For expensive equipment, this issue should be clarified before packaging, keeping the serial number and documents.

Benefit for used items has conditions

Dubai Customs provides exemption from customs duties for used personal effects and household goods of foreigners arriving for the first time to reside in the UAE, subject to compliance with the registration conditions. This is a rule for qualifying imports through Dubai, and not a promise of free transportation of any cargo.

The published conditions indicate the nature of the items used, documents confirming work and residence in the UAE, registration in the name of the relocating person, the quantity corresponding to the arrangement of housing, and a packing list of the contents. New items do not automatically qualify for this exemption. Lumping old furniture and new purchases into the same category of “duty-free personal items” is wrong.

Please provide the agent with a list of items and residency status prior to shipment. Get a written answer: what documents are required specifically for your import, when they should be ready and how the new items will be processed. If residency documents are still in process, agree on the procedure in advance. The fact of moving does not replace customs confirmation.

The duty exemption does not cancel the invoices for transportation, port handling, agent work, storage and delivery. These costs must be looked for separately in the commercial proposal. Customs benefits and the full cost of moving are different issues.

Compare offers for the same job

The phrase door to door can hide different service boundaries. One offer includes packing, disassembly, removal and unpacking, the other includes only transport between addresses with an additional charge for the work. Comparing the two totals makes sense after checking the composition of services.

Ask to indicate which costs are fixed, which are calculated ex post, and which circumstances allow the amount to be changed. For LTL shipments, clarify what is considered shipping and delivery: the readiness of your shipment does not necessarily mean that the bulk load will be dispatched immediately. Plan your check-in according to a confirmed schedule, maintaining a reserve for registration, and not according to an advertising period without conditions.

Decision about each item

Weigh the cost of field replacement against the added cost of transporting the item, preparation, insurance, and risk of incompatibility. The historical purchase price is of little use for this comparison: it has already been paid. What’s more important is how much it costs to get a suitable replacement now and how long the existing item will last.

Do not mechanically distribute the total price of the shipment by the number of boxes. A bulky light item and a compact heavy piece of equipment may have different effects on the tariff. Ask the carrier to recalculate the option without large items. This will show real savings that cannot be seen from the average cost per box.

Documents, medicines with verified import rules, necessary children's things and everyday items should be planned separately from the main cargo. Their availability in the first days should not depend on the arrival of the container. For items with personal value, monetary comparison remains only part of the decision, but transportation rules and carrier liability still need to be checked.

Acceptance completes the move

Before packing, take photographs of the condition of expensive items. Associate the box number with the list of contents and keep a copy separate from the shipment. Upon delivery, check the number of pieces, record visible damage and use the notification procedure provided for in the contract and insurance. Do not delay the inspection until the furniture is completely arranged if the application period is limited.

Smart transportation starts with the future use of the items and ends with documented acceptance. If, after calculation, it is more profitable to replace part of the property in Dubai, this does not make the move less complete. On the contrary, the family receives a space to live, and not a warehouse of items for which delivery has already been paid.
