Transferring to another school in Dubai mid-year: how to maintain continuity of learning

Mid-year transfer to another school in Dubai: location, calendar, KHDA documents, curriculum and continuity of learning.
The transfer of a child begins with confirmation of a new place, and not with a letter of resignation. Even if a school is willing to discuss admission, the family needs to figure out the grade level, eligible transfer date, paperwork, and academic implications. There are several important steps between a positive conversation with admissions and completed registration.
We are talking about private schools in Dubai, regulated by the KHDA. The terms and conditions of other emirates cannot be automatically transferred to this process. Transferring mid-year may be possible, but is not an absolute right to enroll in any school and class on the day of your choice.
Check location, class and date together
Request written confirmation of available space and terms and conditions. Clarify whether the offer is final or subject to evaluation, documentation and approval. A waiting line and an invitation to a meeting do not mean that the child has been accepted.
The transition date depends on the situation: calendar, program, class and necessary procedures. In Dubai, there are schools with the beginning of the year in September and schools with an April calendar. Therefore, the word “mid-year” can refer to different stages of learning. The host school must confirm the applicable terms and conditions for the specific date selected.
Do not schedule the last day of the old school until the first day of the new one and registration procedures are known. If there is a break between them, you need to understand in advance its consequences for academic work and documents. The “we’ll arrange it after we move” plan leaves the family with avoidable uncertainty.
Transfer Certificate and official registration
KHDA indicates that a transfer certificate is required for transfers within Dubai. The registration procedure for Grade 2/Year 3 and above uses a transfer certificate or the provided official confirmation of academic achievement. The specific kit must be checked by the receiving school in relation to the child.
The official School Leaving Certificate service allows the former school to submit a request through the KHDA portal; After approval, the document is issued electronically. This is a separate document that is not replaced by correspondence about the intention to leave. Agree on who is submitting the request and when the host school will be able to complete the application.
KHDA also emphasizes that official registration requires the student to be logged into the system. Payment and attendance at the orientation meeting do not prove that this step has been completed. Ask the new school to confirm the registration and the parent's required steps, including signing the agreement.
Match programs, not just class names
The same class numbers in different educational systems do not guarantee the same content. Ask the host school to evaluate what has been covered, what topics need to be continued, and how the child's placement in the class will be handled. Report cards and a list of completed disciplines are especially useful.
For older students, check the subjects, exam requirements and the possibility of counting results. For example, in its explanation of the American program, KHDA specifically considers high school credits. When transferring, it is important not only the fact of availability of a place, but also the ability to fulfill the requirements for a future diploma.
If the program is changing, ask for a written transition curriculum. What do you need to catch up on, who helps, how is the result assessed, and does a change in trajectory occur before graduation? You shouldn’t settle for the promise of a “quick catch up” without understanding the amount of work and the support available.
Financial calculation upon leaving and entering
Request an estimate from the former school for the balance of fees and the basis for deductions based on the current KHDA policy and agreement. Do not automatically assume that all unused calendar days are refunded pro rata. The notice date and calculation rules may matter.
At the new school, separately find out the admission fee during the year, the advance payment and immediate obligations. Do not transfer the annual price there without checking the period for which the invoice was issued. At the same time, clarify the transportation, uniform, and resources that will be needed from day one.
If a settlement is in dispute, submit a written request with the dates, amounts paid, and the specific line of the dispute. The terms of the transfer and the financial dispute are best handled as two verifiable processes, retaining documents for each. If there is an unresolved issue, use the provided KHDA channels, without relying on retellings of other people's cases.
Transition plan between two schools
| Stage | What to confirm |
|---|---|
| New location | Class, date and terms of offer |
| Academic Compatibility | Subjects, results and support needed |
| Care | Notice, Last Date and Financial Calculation |
| Documents | Transfer Certificate and Study Details |
| Registration | Entry into the system and parent agreement |
| First day | Schedule, transport and responsible employee |
If possible, arrange a contact for transfer of educational information. If your child needs support, describe it specifically: what conditions have already helped, what tasks made work difficult, how the support was organized. This is more helpful than the general message that “adaptation is hard.”
You should not share unnecessary personal information with all participants in the process. Confirm with the new school what kit is needed and how to safely send it. Training documents should assist the transition, not be distributed without a clear purpose.
How to evaluate the translation result
In the first weeks, check not only your mood, but also the clarity of the schedule, access to materials, implementation of the transition plan, and communication with the school. If gaps arise, it is helpful to identify a subject and topic to discuss specific assistance.
A successful transfer means that the child is officially registered, continues his education along a clear path and receives the necessary support. The new name of the school in the family calendar does not yet confirm these conditions. They should be provided before leaving and checked after the start of classes.
